About Bike/Walk Central Florida
Bike/Walk Central Florida was born out of a belief that few people get into their cars, ride their bikes, or walk across the street with the intention of colliding. However, Central Florida has a history of designing roads for speed and convenience rather than walking or biking; we can no longer accept that biking, and walking injuries are inevitable. We believe that it is our duty to protect the most vulnerable road users and make walking and biking in Central Florida the norm.
Bike/Walk Central Florida educates and advocates to make communities more walkable, bikeable, and rollable. We strive towards a connected and equitable transportation system that is safe and comfortable for all. BWCF manages the Best Foot Forward for Pedestrian Safety Program and the Healthy West Orange Trails Connection on behalf of our partners. The organization also hosts events such as Bike 5 Cities, focusing on comfortable routes for all road users, and Bike/Walk Kids, educating our youth on safe cycling and walking habits.
Position Summary
Location: Work from home, with the ability and willingness to work weekends and evenings to support Bike/Walk Central Florida events and activities. Shared workspace and office resources are available at the BWCF office in Downtown Orlando.
Schedule: Full-time (40 hours/week) with a flexible schedule.
This position will coordinate the successful planning and execution of all BWCF program events, including by not limited to Bike 5, Wheel of Achievement, Bike/Walk Kids events, and BWCF partner events. The events manager will also support the Best Foot Forward (“BFF”) program and other activities on an as-needed basis throughout the year. Responsibilities may include, but are not limited to:
Event Coordination and Execution
- Plan, coordinate, and execute all BWCF events, including Bike 5, Wheel of Achievement, Healthy West Orange Trail Connection Events, Bike/Walk Kids events, and other BWCF partner-related events or activities.
- Support Executive Director and Program Managers in executing event vision and in developing and managing budget for assigned events.
- Meet/communicate with potential and ongoing program partners and sponsors and document meeting minutes as necessary.
- Research, propose, and procure services from vendors, including venues, caterers, photography, etc.
- Maintain vendor service agreements and financial commitments.
- Provide on-site event support and management, including loading, set up, breakdown, event materials, procurement of supplies, etc.
- Coordinate event communication with marketing staff, such as social media, web and newsletter articles, and web page updates. Assist with publicity, including public relations, advertising, and collateral material design, production, and distribution.
- Maintain inventory of event supplies and materials.
Event Evaluation
- Maintain master event files and documentation to aid in planning and executing future events.
- Determine benchmarks for success prior to each assigned event, evaluate their effectiveness after the event, and incorporate improvements in future planning.
Volunteer Coordination
- Develop staffing or volunteer plans to ensure quality standards are met.
- Coordinate volunteer recruitment, management, and involvement.
- Assist and develop virtual and in-person educational presentations promoting BWCF programs, initiatives, and issues.
Administration
- Perform event-related administration and reporting, including tracking event registration, program participants and volunteers, internal status and meeting updates, event metrics, budget tracking, etc.
- Manage deadlines and deliverables through Asana to ensure timely follow-up and communication of all logistics, vendors, participants, volunteers, and internal team schedules.
- Assist with tracking sponsorship and partner scopes, assuring all requirements are met.
- Document community engagement activities and maintain records of conversations, materials distributed, events held, and participation; monitor and report on outcomes of BWCF programs.
- Help during BFF operations, including meeting local officials, working with law enforcement partners, and capturing video and pictures of enforcement operations.
- Execute and support other administrative projects as needed.
Required Skills
- Bachelor’s degree in public relations, marketing, hospitality, or related field preferred with relevant experience.
- Minimum two years experience in event management or a similar field.
- Proficiency in MS Office, Word, Excel, PowerPoint, and WordPress. SharePoint experience is a plus.
- Excellent written and verbal communication and interpersonal skills.
- Effective project and time management, process-oriented thinking, and problem-solving skills. Ability to prioritize and handle multiple tasks in a fast-paced environment while meeting all required deadlines.
- Ability to work evenings and weekends as needed.
- Understanding of community organizations; comfortable working with a wide range of people.
- Ability to stay on task while working independently or with others.
- Commitment to biking and walking as part of a healthy community infrastructure.
- Applicants must have reliable personal transportation.
- Applicants must live within Orange, Osceola, or Seminole Counties.
Physical Requirements
- Extended periods of sitting, walking, and/or standing.
- Ability to lift, carry, and or move up to 25 pounds.
- Bending, reaching, kneeling.
